Bestinet Sdn Bhd is an Information Technology based company with a focus on delivering technologically innovative, client-centric and comprehensive cross-border technology solutions, applications and infrastructure setup for public and private sector clientele. They have implemented few systems, collaborated with the Ministry of Home Affairs, Malaysia, Immigration Department of Malaysia, Recruitment agent As­sociations in Source Countries (i.e. Indonesia, Philippines, Pakistan, Bangladesh etc.)Despite being one of the outstanding performing IT company (which they have won a few prizes and recognitions; Best of government & Public Sector winner) this company still faces some internal processing issues related to their ERP (Enterprise Resource Planning) IE inventory and order management, accounting, human resources, customer relationship management (CRM), and beyond. Only for this case study, we are merely focusing on these 3 sections which are financial management, procurement & Human Capital Management that have the highest issues in making out their operations.Presently the company is using Human Resource Management system name Jinji developed by SoftFac Technology Sdn Bhd, which was made based on users’ requirements. The current system is a standalone system and there is no system for finance management and procurement where all process was done manually and too administrative.Enterprise Resource Planning (ERP) system is an information system is user-interfaced and designed to provide information useful to support strategy, operations, management analysis, and decision-making functions in an organization. ERP software integrates these various functions into one complete system to streamline processes and information across the integral organization. Enterprise Resource Planning (ERP) Systems is one of the advanced types of data systems that help enterprises to improve their competitiveness, adopting best industry and management practices in delivering services at the right situation at the proper time and at the least cost.The key characteristic of all ERP systems is a shared database that supports multiple functions used by different business units. In practice, this implies that employees in different parts—for example, accounting and sales—can rely on the same information for their specific needs.ERP software also provides some degree of synchronized reporting and automation. Instead of driving employees to keep separate databases and spreadsheets that must be manually merged to generate reports, some ERP solutions allow staff to extract reports from one organisation.The company is planning to improve their current system and implement an ERP system in order for them to move forward and reduce manual and administrative task. We may propose to implement an established ERP platform that already in the market; Orable Netsuit ERP (Enterprise Resource Planning) where will study whether the implementation may help and improve their productivity and efficiency, especially on the new project implementation.Figure 1: Interface Sample of Jinji Figure 2: Sample of ERP system dashboard  1         Problem StatementsThe importance of developing a constraint-free system that enables any organizations to have a smooth and error free transactions and production which may lead and enhance organizations’ efficiency has been recognised by the industry. However, the existence of varied organizational stand-alone system implemented in organization may affect inefficiency as there is no integration between those separated system. Today’s businesses are becoming more complex and challenging which exposes business to high risk and constraint.  The ERP system implementations seems to affect organizations positively. It should improve operations efficiency, simplify business processes, and make life easier for employees (Isherwood, 2015). As mentioned previously, there are several factors that motivate organizations to choose an ERP product. However, there are even more factors that lead organizations to not consider going with an ERP product. Moreover, when implemented, it could majorly affect organizations negatively and move organizations backward. The purpose of this paper is to address these issues facing organizations, explore how to deal with them, and propose a scheme to overcome these problems.2         ObjectiveThe goal of the current study is providing a list of advantage and disadvantage items that is important to be known regarding adoption of ERP. In fact, in this study, we consider an item as a real advantage when its beneficial aspect is not only confirmed through literature, but also through the empirical data collected from users’ point of view. Similarly, we consider an item as a real disadvantage when there is a consensus over it based on both literature and empirical data collected from users’ point of view.3         MethodologyThe methodology used in this study heavily focused on ERP benefits and pitfalls literature discussing user participation and involvement. Keywords that were used in searching for appropriate literature were ERP, ERP implementation, ERP benefits, user participation, user involvement. The derivation of these keywords formed the first stage of the methodology. The second stage involved conducting a search for journal articles, conference papers, books and web postings based on the keywords identified. A variety of tools were used to search for these papers, as follows: internet search engines such as Google scholar, and a series of journal databases; ScienceDirect, IEEE, Emerald and Inspec. The presented articles were then categorized into different groups which included ERP success models, ERP adoption, ERP implementation, User participation issues, critical success factors (CSFs), change management, ERP internal integration and implementation challenges in general. The shortlisted papers from the categorization exercise formed the basis of the literature review.On top of that of the current research, we shall as well conduct an explorative study in the paradigm of behavioural science to find real advantages and disadvantages of adopting ERP. In order to answer the proposed research question scientifically and satisfactorily, we started with the formation of two constructs namely ‘advantages of ERP adoption’ and ‘disadvantages of ERP adoption’ which items of both constructs were extracted out of reviewing articles, books, and other published academic materials.4         Expected OutcomeThe focus of this paper is on user participation in the context of ERP systems implementation. Past research on ERP implementation has focused on ERP adoption, success measurement, implementation methodologies and success factors. There is a dearth of research as far as user participation in ERP system implementation is concerned. The closest attempt in recognizing the role of users in the successful implementation of ERP systems is in the identification of critical success factors (CSFs) where user participation and involvement is mentioned as one of the CSFs. (De Loo, et al., 2011) As mentioned earlier, user participation and involvement are part of the CSFs for ERP systems. End users are the people who have direct contact with the ERP systems. User participation refers to involvement in the system development and implementation process by representatives of the target user groups (Matende & Ogao, 2013). There are two main areas of user participation when a company or organization decides to implement an ERP system. The first area is when a user participates on the stage of definition of the company’s ERP system needs and the second area is user participates in the implementation of the ERP. Understanding the contributions of user participation in ERP implementation will lead to successful implementation.
